Accepting a Risk Is a Decision: How to Document It
How management at a company in Chile can formally accept a security risk with justification and an expiry date. Ask IT Lab for a template.
Not every risk can be eliminated. Some are accepted because the control costs more than the expected harm or because the technology allows no other way. What matters is that the decision is conscious, made by the right person and put in writing.
- Accepting a risk is a management decision, not a technical oversight.
- A brief record keeps the exception from being forgotten.
- Every acceptance needs an expiry and a review.
The role of management
Whoever administers technology can identify and explain a risk, but whoever answers for the organisation decides how much it is prepared to assume. Separating the two roles prevents exceptions from being settled silently. This step relies on a risk matrix showing what is being accepted.
What the record should contain
- Affected asset. Which system, service or process is exposed.
- Risk description. In plain language, without jargon.
- Justification. Why the control is not applied or not possible today.
- Compensating measures. What is done meanwhile to reduce exposure.
- Validity. Until when the acceptance holds and when it is reviewed.
- Approval. The role accepting it and the date.
Common mistakes
- Accepting verbally, with no record.
- Acceptances without an end date, which become permanent.
- Accepting without compensating measures.
- Acceptance by someone without the authority to give it.
- Not telling the people who operate the system that the exception exists.
What to do
- Define one acceptance format and store it with the other policies.
- Establish who may accept which level of risk.
- Review active acceptances at least yearly.
- Reassess if context changes: new data, new vendors, new customer requirements.
- Keep a simple list of active exceptions.
Frequently asked questions
Does accepting a risk leave me unprotected? Not necessarily: with compensating measures and review, the exposure is known and controlled.
Can every risk be accepted? No. Some carry external obligations or impacts the organisation cannot bear; on legal matters, the determination belongs to counsel.
Is it useful in a small company? Yes; a one-page format is enough.
This practice ties in with Proportional security for SMBs.
